The concrete problem in the back office
Back-office work is invisible by definition — until it doesn't get done. Then invoices go missing, contracts disappear, reports go stale, systems drift out of sync. The back-office team of a 50-person company spends 60–80 hours a week on tasks that require no strategic thinking.
The problem: these tasks aren't complex, but they're high-volume and error-sensitive. A misentered invoice, a missed contract deadline, an unsynced system — every mistake has downstream costs. And humans make mistakes on monotonous work. Not from incompetence — from human nature.
How AI agents solve back-office processes
An AI agent treats every document with the same attention — whether it's the first or the five-hundredth of the day. No Friday-afternoon effect. No slip-ups after 4 hours of invoice review.
The agent workflow in the back office
- Detect intake. Invoice by email? Contract in SharePoint? Record in the ERP? The agent recognizes the document type automatically.
- Extract fields. Invoice number, amounts, payment terms, contracting parties, durations — structured out of unstructured documents.
- Validation. Cross-checked against purchase order data, contract terms, historical patterns. Mandatory fields checked. Duplicates detected.
- Routing. Standard → processed automatically. Discrepancy → flagged with a concrete reason. Anomaly → escalated to the responsible person.
- Posting/filing. Correct assignment in the target system: DATEV account, ERP record, contract management.
- Audit trail. Every step documented: input, decision, output, timestamp.
Tasks and adoption rates in the back office
| Task | Hours/week | Adoption | Hours back |
|---|---|---|---|
| Invoice intake & review | 8 h | 88% | 7.0 h |
| Document processing & filing | 6 h | 85% | 5.1 h |
| Data synchronization between systems | 4 h | 92% | 3.7 h |
| Report generation | 3 h | 90% | 2.7 h |
| Contract review & deadlines | 3 h | 82% | 2.5 h |
| Compliance checks | 2 h | 78% | 1.6 h |
| Email triage (back-office inbox) | 3 h | 92% | 2.8 h |
Per back-office team: 25.4 hours/week back. That's the equivalent of half to a full position — without recruiting, onboarding or turnover.
Example: month-end close with 200 invoices
Without an agent
- Weeks 1–2 — manually review 200 invoices: match fields, look up purchase orders, assign DATEV accounts (20h)
- Week 2 — resolve 12 invoices with discrepancies: contact suppliers, coordinate internally (4h)
- Week 3 — chase missing receipts, correct duplicates, fix system entries (3h)
- Week 4 — generate reports, consolidate figures, document discrepancies (5h)
- 32 hours. 3 errors that only surface in the quarterly report.
With an agent
- Ongoing — the agent processes invoices on arrival: fields extracted, validated, assigned to DATEV (0h manual)
- Dashboard — 188 invoices: processed automatically. 12 invoices: flagged with a concrete reason
- Day 1 — back office reviews 12 flags (1.5h). Supplier clarification for 4 of them (1h)
- Day 2 — monthly report generated automatically. Anomaly report: 0 unresolved cases
- 2.5 hours instead of 32. 0 errors. Done 3 weeks earlier.
ROI in the back office
Direct savings: 25.4h/week × 52 × €45/h = €59,436/year
Error-cost reduction (conservative): €5,000–15,000/year
Agent cost: €500–1,500/month = €6,000–18,000/year
Net ROI: €46,000–68,000 — a factor of 4-8x.
Plus: faster closes, better audit-readiness, reduced compliance risk.

Requirements
- Digital document capture. Invoices and documents need to exist digitally — scanned or already electronic. Paper-only doesn't work.
- System access via API. DATEV, SAP, lexoffice, sevDesk, ERP — the agent needs read and write access.
- Defined review rules. What counts as standard, what as an exception? Which tolerances apply? We work this out together in the audit.
- Minimum volume. Automation pays off from 50+ documents/week. Below that, manual is more efficient.
- GoBD awareness. The agent logs in an audit-proof way. But the target system needs to support GoBD-compliant archiving.
